Apps/OpenRegister

OpenRegister

One place for every record, object and document, fully under your control. On your own Nextcloud.

OpenRegister is the shared data store under every Conduction app. Your clients, quotes, invoices, projects and cases live in it once, on your own server. Every app reads and writes the same records, so a change in one place is a change everywhere. It also runs your automation: draw what should happen, and it happens. Every change is logged with who, what and when. Open source, released under EUPL-1.2 and maintained by Conduction since 2019.
What it does

One record, every app. Automation you draw. Every change logged.

Your CRM, invoicing, contracts and projects all read and write the same records. You draw what should happen when something changes. And you can always see who changed what, and when.

One client record across your CRM, invoicing and contracts.

Today: a client changes their phone number and you update it in three systems. Instead: change it once. The CRM, the invoice, the contract and your address book all show the new number. No copying, no two versions of the truth.

Automation you draw on a canvas, not program.

Draw what should happen when a record changes, or on a schedule. When a quote is accepted, the project exists and the kick-off task is on the right desk. A discount over ten percent waits for your approval. Every Monday at nine, a list of leads nobody touched. Each run uses the permissions of the person who started it, and every step is logged.

Every change logged, every earlier version kept.

Who changed the price on that quote, and when? It is in the log. Deleted something by mistake? It is in the bin, and it comes back. Earlier versions of a record stay available. That is your evidence at audit time and your answer to a privacy request.

On your own server, and yours to take with you.

Your data lives on the Nextcloud you host, or your partner hosts for you. Nothing goes to a third party. Every record exports to plain, open files. The day you leave is as easy as the day you started.

Four ways OpenRegister earns its place

It works the way you work. And it works for you.

Four things you would normally pay extra for. Here they are built in, for every app on your workspace.

TriggerStepStepApprovalEnd
Automate

An invoice goes unpaid. The reminder is already on someone's desk.

Today: someone checks the open invoices every week and chases by hand. Instead: you draw it once. Every morning it checks the open invoices. Fourteen days past due, a follow-up task lands with the right colleague, and the client record shows it. A write-off over five hundred euros waits for your approval before anything changes. Every first of the month, the list of overdue invoices per client. Every step is logged, and each run only does what the person who set it up may do. Nothing forgotten, no chasing, no coding.

Make it yours

Add the field your business needs. Without a developer.

A wholesaler wants a delivery region on every client. An installer wants a site-visit step before the quote. Add the field, add the step, move the widget you look at first to the top. In the running app, in minutes, and your changes stay with every update. Need a small app of your own, like a vehicle list with inspection dates? Name it, add the fields, say who sees it, and it is in the top bar.

How customising works
Talk to it

Ask a question. Get the answer, not a report to build.

Type "which clients have an open quote older than a month?" and get the list. Say "log my call with Jansen, they want the quote in May" and the call is logged and the follow-up planned. Every app on the workspace can hand its actions to an assistant. You decide per assistant what it may do, and nothing changes without your say-so.

Meet the assistant
Let clients help themselves

Clients see their own records. In their own portal.

The records already live here: contracts, orders, requests, invoices. Give clients their own door to them with Portaliq: a portal in your house style where they see their contracts and products, ask and sign quotations, and follow their tickets. No copy of the data, no separate portal database. Your team and your clients look at the same record, and the where-is-it calls stop.

Give clients their own portal
How OpenRegister plugs into the workspace

Apps that truly work together.

Every app on your Nextcloud can read and write the same records. Files, mail, contacts and calendar show up on the record. The record shows up in Files, Mail and Talk. Nobody copies between tabs.

Every client, project or case gets its own folder the moment it exists. Drop files in it, write notes on it, tag it the way you tag your files. Add a mail to a project and your colleagues see it without anyone forwarding. Share one of those files and the share shows on the record. The case file is part of the workspace, not a second archive to keep in sync.
